POSITION SUMMARY
The Artistic Operations Coordinator provides essential operational and administrative support to the Director of Artistic Operations, enabling the department to plan and execute ASO’s full season of performances, rehearsals, and orchestral special events. This is a full-time role at the heart of a professional orchestra in an active period of organizational growth. The ideal candidate brings operational discipline, a high standard for detail, professional communication skills, and—ideally—firsthand experience in the orchestral field. This position offers hybrid flexibility on Monday and Thursday for administrative workdays while requiring full on-site presence for rehearsals, concerts, and production events.
SCHEDULE EXPECTATIONS
Standard weeks are 37.5 hours. Concert weeks and production-intensive periods typically run 50–60 hours, including evenings and weekends. The ASO concert season runs September through May with additional summer events. On-site presence is required for all rehearsals, concerts, auditions, and production events. Administrative workdays offer hybrid flexibility at the Director’s discretion. Candidates must be available to work the ASO performance schedule and should expect this as a core feature of the role, not an exception.
DUTIES AND RESPONSIBILITIES
Operational Support
- Maintain and update the master production calendar for all ASO performances and events
- Manage the FRC scheduling calendar in Google Workspace
- Maintain a comprehensive performance history log for all ASO productions
- Track departmental expenditures against approved budget line items; surface variances to the Director
- Serve as manager on duty for rehearsals and performances as assigned, including authority to make on-site operational decisions within established protocols
- Provide on-site operational support for rehearsals and concerts, including coordination with stage crew, piano technicians, and equipment vendors
- Serve as assistant project manager for large-scale productions (e.g., July 4th annual event)
Guest Artist & Contracting Support
- Manage contracting timelines for guest conductors, soloists, and visiting artists under the direction of the Director of Artistic Operations
- Serve as a logistics and scheduling contact for guest artists, coordinating travel, hospitality, on site needs and check requests.
- Coordinate guest artist hotel and travel with outside vendors, hotels, and
- Liaise with artist representatives, managers, and agents on logistical matters as directed; the Director retains ownership of negotiations and relationships
- Maintain accurate records of guest artist agreements, riders, and supporting documentation
Personnel Manager Support
- Maintain and update musician personal leave, sick leave, and attendance records
- Maintain all musician personnel files and database with accuracy and confidentiality
- Prepare documentation required for I-9 compliance and I-20 work authorization processes
- Assist with annual preparation of musician contracts, offer letters, and over-scale agreements
- Update rehearsal orders and scheduling information in Ensemble Manager
- Assist with audition coordination: planning, logistics, communication, and on-site execution
- Support musician onboarding logistics at the start of each season
- Assist the Personnel Manager in maintaining grievance documentation as required under AFM agreements
- Attend and provide clerical support of orchestra committee and negotiation
Administrative
- Support the Director with correspondence, scheduling, and document preparation
- Oversee Monday application for project management of ASO
- Maintain organized department files and records, physical and digital
- Perform other duties as assigned by the Director of Artistic Operations
QUALIFICATIONS
Required
- Bachelor’s degree in music, arts administration, or a related field, OR at least three years of equivalent professional experience in a performing arts organization
- Strong organizational skills and meticulous attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar)
- Excellent written and verbal communication skills, including professional correspondence with artists and representatives
- Ability and commitment to work evenings, weekends, and extended hours during concert weeks
- Discretion and professionalism in handling confidential personnel and contractual matters
Preferred
- Background as a performing orchestral musician (strongly preferred; this experience translates directly to the operational and relational demands of the role)
- Experience in orchestral or performing arts administration
- Familiarity with Ensemble Manager or comparable orchestra management software
- Working knowledge of AFM collective bargaining agreements
- Experience supporting contracting workflows, artist logistics, or production coordination

WORK ENVIRONMENT
Work is performed in both office and performance venue settings, primarily at ASO’s administrative offices and the Long Center for the Performing Arts. On-site presence is required for all rehearsals, concerts, auditions, and production events. Hybrid remote work is available for administrative days at the Director’s discretion. Physical requirements include the ability to stand for extended periods and assist with materials in rehearsal and concert environments.
