Job Summary: The Development Associate will have regular interaction with all Austin Symphony Orchestra (ASO) departments, community constituents including donors and volunteers, and clients. This position must be able to accurately complete assignments within a given timeline, problem solve, and work well under pressure. The highly motivated, organized, and passionate individual who holds this position will assist with implementation of all fundraising, stewardship, and donor database activities to support ASO work and mission. This full-time position requires meticulous attention to detail, excellent time management skills, strong written and verbal communication, and the ability to manage multiple projects at once.  The ideal candidate should enjoy working as part of a team but also be able to take initiative on all job duties.  This person is interested in expanding their professional fundraising career, has a passion to share the Austin Symphony voice, loves data, writing, and analytical work, and enjoys behind-the-scenes work in support of a great mission.

Essential Duties & Responsibilities

Event Coordination

  • Update email marketing lists and run reports for segmentation to support Marketing and Development teams.
  • Responsible for pre/post-concert events, stewardship meet and greets, appreciation parties, and other activities associated with donors, patrons and volunteers.
  • Lead contact for all vendors and must turn invoices to Finance promptly
  • Other events throughout the year for cultivation or stewardship such VVIP and Annual Fund Donors, but not limited to these, including July 4th.
  • Collaborate and assist on events as needed ensuring best practices.
  • RFPs for major events
  • Primary contact for Receptions Committee
  • Manage and ensure donor stewardship through benefits at concerts like seat care.

Donor Relations

  • Create thoughtful, engaging acknowledgement letters to appropriately steward donors.
  • Manage donations including fielding donor calls, communicating membership information, assisting with ASO events, stewardship and cultivation of donors, and organizing/managing memberships perks.
  • Support the Development Director in by assisting with stewardship plans to cultivate and retain donors.
  • Grants: primary coordinator for: calendar, submission items, all elements of the grant are ready in timely manner, build library of documents needed, catalog all grants submitted with follow-up (received/not – why, if available), and complete all post approval grant items.

Database Management

  • Full implementation of the donor database (Tessitura) to support fundraising, constituent communications, stewardship, and cultivation.
  • All daily gift and pledge entry and acknowledgement processing ensuring that letters are mailed.
  • Develop expertise in database queries and reporting including financial reports related to donors and mailing lists for annual appeals, ensuring data is accurate.
  • Maintain accurate constituent records including updating donor information and identifying duplicate constituent records.
  • Track all donor activities and communication in Tessitura including not limited to mailings, event invitations received, notes, phone logs and meeting notes.
  • Update email marketing lists and run reports for segmentation to support Marketing and Development teams.

General Development Support

  • Coordinate direct mailings with Marketing for either mail house or in-house. This includes final approval of materials, managing postage, and general project logistics. Processing of returns, follow-up with responses.
  • Provide support for registration at events including training volunteers (if applicable or WSL), generating lists from Tessitura and troubleshooting database issues, serve as point person for event attendee confirmation/follow-up.
  • Maintain stationary supply for the Development team including placing orders as needed with the printer (notes, cards, letterhead, etc…)
  • Attend and actively participate in all of ASO’s special events including: community concerts, educational events, WSL events, and other events as needed.
  • Support the Development team on all other fundraising and communication projects as needed.

Qualifications
Education & Experience

  • Minimum two years’ experience working in nonprofit donor relations and donor database management.
  • Working knowledge of nonprofit fundraising practices. Experience working on special events and fundraising campaigns a plus.
  • Bachelor’s degree from an accredited college or university preferred (or a comparable background of training and experience).

Knowledge, Skills, & Abilities

  • Excellent organizational/project management skills with a particular focus on managing details and meeting deadlines.
  • Ability to work independently on projects with minimal supervision.
  • Highly developed written and verbal communication skills.
  • Very strong attention to detail.
  • Strong interpersonal skills and confidence speaking with diverse populations and representing agency in the community.
  • Ability to maintain confidentiality of all internal donor and patron information.
  • Ability to creatively problem solve and work with other departments in the organization.
  • Ability to respond with sensitivity and awareness to those with diverse cultural, ethnic, social backgrounds, values, attitudes and languages.
  • Microsoft Office proficiency and experience (Word, Excel, Publisher), along with a great eye for detail.
  • Highly developed technical skills and facility in learning new software.
  • Collaborates well with internal and external stakeholders.
